How we use your information

This privacy notice tells you what to expect when Magdalen College School (MCS) collects personal information. It applies to information we collect about:

  • current, former and prospective pupils, and parents/guardians of those pupils
  • visitors to our websites
  • job applicants and our current and former employees

MCS will only process personal data for the purpose(s) for which it was originally acquired, including written and electronic communication of School matters, and will not process it for any other purpose without the data subject’s permission, unless it is permitted to do so under the Data Protection Act. MCS may communicate with data subjects for these purposes by post, email, telephone and SMS.

Personal data shall only be disclosed to those members of the School's staff, agents and suppliers who need to access the personal data to carry out the purpose(s) for which it was acquired. MCS has in place appropriate security measures to ensure that personal data is kept secure and not processed without proper authority. The School observes legislative requirements and current best practice to ensure personal data is kept for no longer than necessary.

MCS will regularly try to ensure that all personal information held about an individual is accurate and up-to-date. What information is kept

Personal data kept by the School in its role as a Data Controller includes but is not limited to:

  • Contact details, images and biometric data for pupils and staff 
  • Admissions, academic, disciplinary and other education related records, references, examination scripts and marks
  • Sensitive personal data may include information about special educational needs and relevant medical information, also data concerning ethnic group, religious beliefs, criminal records and proceedings may be kept.

Access to personal information

MCS tries to be as open as it can be in terms of giving people access to their personal information. Individuals can find out if we hold any personal information by making a ‘subject access request’ under the Data Protection Act 1998. If we do hold information about you we will:

  • give you a description of it;
  • tell you why we are holding it;
  • tell you who it could be disclosed to; and
  • let you have a copy of the information in an intelligible form.
